Book with the Captain
Effective date: October 25, 2026 · Last updated: October 25, 2026
Book with the Captain ("Book with the Captain," "we," "us") is an independent travel advisor of Fora Travel. This policy explains what personal information we collect through bookwiththecaptain.com (the "Site"), how we use and share it, and your choices.
1. Information we collect
You give us:
- Quote requests (desktop and mobile forms): name, email, an optional phone number, number of travelers, travel dates, trip type, your message, whether you're interested in travel insurance (an optional Faye quote), and the Site page you submitted from.
- Free checklist signup: email and an optional first name, whether you agreed (optional, unchecked by default) to receive our weekly emails, the form type, the source page and a timestamp.
- Giveaway entries: the checklist fields plus your state and your entry.
- Chat widget: name, email, travel dates, number of travelers, a short trip description, and the page you chatted from. Chat leads are sent as quote requests; the chat does not ask for a phone number.
All Site forms are processed by Netlify Forms, and submissions are emailed to Book with the Captain's own inbox. No other third party receives form data from the Site.
Your phone number is used only to reply to that trip request. We will not make marketing calls or send marketing texts unless you give separate, express written consent, as the Telephone Consumer Protection Act requires (47 U.S.C. §227).
- If you book, we and our travel partners will need more details (for example legal names, dates of birth, citizenship/passport information, and payment details). These are collected through Fora's or the supplier's secure systems.
Collected automatically: our host, Netlify, processes technical data such as IP address, browser type and pages requested so the Site can be delivered and secured.
Analytics. We use Google Analytics 4 (from Google LLC). It uses cookies and similar technologies to collect information such as the pages you view, how you arrived at the Site (for example, from a search engine or a link), whether you submitted a form (not what you typed in it), and general device, browser and approximate location information. We use this only to understand how the Site is used and improve it. We do not use it to show you ads based on your visit (no remarketing or retargeting), and we do not send your name, email, phone number or form answers to Google. Google processes this information as described in How Google uses information from sites or apps that use our services and its Privacy Policy.
We do not knowingly collect sensitive information through the Site, and we ask that you not send passport or payment numbers through our forms.
2. How we use it
- To respond to quote requests and to plan, book and service your travel
- To request travel insurance quotes from Faye when you ask us to
- To run giveaways (selecting and contacting winners) as described in the Official Rules
- To send our newsletter and offers if you signed up (you can unsubscribe anytime)
- To operate, secure and improve the Site, and to meet legal obligations
3. How we share it
We do not sell your personal information, and we do not share it for cross-context behavioral (targeted) advertising. Google receives the limited usage information described in Section 1 to provide analytics services to us, under settings that restrict its use for ads personalization. Otherwise, we share personal information only:
- With Fora Travel, Inc., our host agency, which provides our booking, CRM and compliance systems
- With travel suppliers needed to book your trip, such as cruise lines, hotels, tour operators and Downtown Travel (Fora's air ticketing partner) for airfare
- With Faye, only if you request a travel insurance quote
- With service providers that help us run the Site and communications, namely Netlify, Inc. (website hosting and form processing; see Netlify's Privacy Policy), Google LLC (website analytics) and, once selected, an email service provider (newsletter). They may use the information only to provide services to us.
- When required by law, or to protect rights, safety, or against fraud, and in connection with a business transfer
Suppliers, Fora and Faye handle information under their own privacy policies.
4. Email and text messages
- Every marketing email includes an unsubscribe link. We honor requests within 10 business days, as required by CAN-SPAM (15 U.S.C. §7701 et seq.; 16 C.F.R. Part 316). You will still get messages about trips you've booked.
- Unsubscribing does not cancel a giveaway entry you already made.
- We do not send marketing calls or text (SMS) messages. A phone number given on a quote form is used only to respond to that request, unless you give separate express written consent (47 U.S.C. §227).
5. Children
The Site is meant for adults planning travel. We do not knowingly collect personal information from children under 13, consistent with the Children's Online Privacy Protection Act (15 U.S.C. §§6501–6506; 16 C.F.R. Part 312). Giveaways are open only to adults (see the Official Rules). If you believe a child has sent us information, contact us and we will delete it. Information about minor travelers that a parent or guardian provides for a booking is used only for that booking.
6. Cookies and Do Not Track
We use essential cookies needed to deliver the Site and analytics cookies from Google (Section 1). We do not use advertising cookies for retargeting. Your choices:
- Global Privacy Control (GPC): if your browser sends a GPC signal, we do not load Google Analytics for that browser.
- Google Analytics opt-out: install the Google Analytics Opt-out Browser Add-on.
- Block cookies in your browser settings. Blocking essential cookies may affect how the Site works.
- Do Not Track: we do not respond differently to Do Not Track signals; we honor GPC instead.
Opt-outs are browser- and device-specific.
7. Security
We use reasonable safeguards, including encrypted (HTTPS) connections and access-restricted accounts. No method of transmission or storage is 100% secure.
8. Retention
We keep information only as long as needed for the purposes above: quote inquiries for up to 24 months; booking records as long as needed for Fora and supplier, tax and legal requirements; giveaway records for 3 years; newsletter data until you unsubscribe, plus a suppression record so we can honor your opt-out.
9. United States only
The Site is intended for US residents, and information is processed in the United States. Your trip may involve suppliers abroad, who will receive what's needed to provide your travel.
10. Your privacy rights
Everyone: you may ask to access, correct or delete your information, or to opt out of marketing, by contacting us. We will not discriminate against you for making a request.
California residents: Under the California Online Privacy Protection Act (CalOPPA, Cal. Bus. & Prof. Code §§22575–22579), this policy describes the categories of information we collect, the third parties we share it with, how you can review and request changes to it, how we notify you of changes (Section 11), our Do Not Track practices (Section 6), and the effective date. Book with the Captain does not currently meet the thresholds of the California Consumer Privacy Act as amended by the CPRA (Cal. Civ. Code §1798.100 et seq.; for example, annual revenue of $25 million or more as adjusted). We still honor access, deletion and correction requests. We do not sell personal information or share it for cross-context behavioral advertising. Under California's "Shine the Light" law (Civ. Code §1798.83), we do not disclose personal information to third parties for their direct marketing purposes.
Other states: many states (including CO, CT, VA, UT, TX, OR, MT, IA, DE, NH, NJ, TN, MN, MD, IN, KY, RI and NE) give residents rights to access, correct, delete, port, and opt out of sale, targeted ads or profiling. Most apply only to businesses processing data on 100,000+ (sometimes 35,000+ or 50,000+) residents, or that earn revenue from selling data. Texas and Nebraska instead exempt small businesses as defined by the SBA but still prohibit selling sensitive data without consent. We honor these requests regardless.
How to make a request: email bookwithcaptain@gmail.com. We may need to verify your identity. If we deny a request, you may appeal by replying to our response with "Appeal."
11. Changes
We will post any updates here and change the "Last updated" date. For material changes, we will notify you by email or a notice on the Site.
